Mayfair Property Services LDN Ltd (company number 17343298), 45 Albemarle Street, London W1S 4JL, is the controller of the personal information described in this notice. In this notice, “we” and “us” mean Mayfair Property Services LDN Ltd.

What we collect

When you send an enquiry through the website form, we collect:

• your name and phone number
• your email address, if you give it
• the postcode or address of the property
• how urgent the job is and what the problem is
• the page you sent the enquiry from

When you call, WhatsApp or email us, we keep the details you give us about you, the property and the work. If we attend, we keep job records such as access notes, photos of the work, quotes and invoices.

How we use it

We use your information to:

• reply to your enquiry and give you a price
• arrange, carry out and follow up repairs and other work
• share access and job details with the engineer or trade who attends
• send quotes, photo notes, completion notes and invoices
• keep records we need for accounts, tax, insurance and handling complaints or claims

We do not sell your information and we do not use it for marketing unless you have asked us to keep in touch.

Our lawful basis

We use your information because it is needed to respond to your request and to perform a contract with you or with the landlord, agent or business that instructed the work. We keep certain records because the law requires it, for example for tax. Where we use information for our own reasonable business purposes, such as keeping job records and improving our service, we rely on our legitimate interests.

Who we share it with

We share only what is needed for the job:

• the engineers and trades who attend, so they can contact you and get access
• your landlord, managing agent or building manager, where they instructed or are paying for the work
• service providers who run our systems, including website hosting, our enquiry email service, phone and messaging services, and our job management software
• our accountants, insurers and professional advisers
• public authorities, where the law requires it

Some of our service providers may store data outside the UK. Where they do, we rely on safeguards recognised under UK data protection law.

How long we keep it

We keep enquiries that do not lead to work for up to 12 months. We keep records of work we carry out, including invoices, for 6 years after the job, which is how long we need them for tax and to deal with any claims. After that, we delete or anonymise them.

Cookies and storage

The public website does not use advertising or tracking cookies. It stores a small setting in your browser to remember your display preference (for example, night mode). Maps on the website load map tiles from a mapping provider, and fonts load from Google Fonts; those providers receive your IP address in the normal way when your browser requests them.

If you sign in to a Mayfair account, such as the contractor Marketplace, we use cookies that are needed to keep you signed in.

Your rights

You have the right to ask for a copy of your information, to have it corrected, and in some cases to have it deleted, to restrict or object to how we use it, or to receive it in a portable format. To use any of these rights, email us. We will reply within one month.

If you are unhappy with how we have handled your information, please contact us first. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
